Updating your account for the new Alberta and British Columbia time zones

Note: This guide only applies to accounts located in Alberta or British Columbia. If you are part of a clinic, only the clinic manager can complete the migration for the clinic.

Alberta and British Columbia no longer change their clocks twice a year. They now stay on the same time all year. To support this, Embodia added two new time zones: Mountain Time - Alberta and Pacific Time - British Columbia.

Accounts that still use Mountain Time (US & Canada) or Pacific Time (US & Canada) will show times one hour off from November 1, 2026, when the rest of Mountain and Pacific time sets its clocks back. The time zone migration assistant moves your account to the new time zone, and keeps your upcoming appointments at the same time of day.


How to start the migration

  1. Go to Settings.
  2. At the top of the page, click Open the time zone migration assistant. This notice is shown until a migration has been completed for your account or clinic.
  3. Click Start the migration.

If you are part of a clinic, the migration applies to the clinic you are currently in. If you are not part of a clinic, it applies to your own account.

The steps of the migration

The assistant shows one step for each type of information to update, with the number of items that will be updated. Steps that have nothing to update are marked as Nothing to update.

How to complete a step

  1. In the Action drop-down, select one of the following:
    • Skip this step: Nothing is updated for this step.
    • Update all: Everything listed for this step is updated.
    • Only update the ones listed in the CSV file: Only the items in the file you upload are updated. Available for the Patients and Appointments steps.
  2. Click Apply.

It is recommended to complete the steps in listed order. Once a step is completed or skipped, it cannot be changed.

Updating only some patients or appointments

Some patients may live outside of Alberta or British Columbia and should keep their current time zone. Some appointments, for example online appointments with those patients, may need to stay at their current time.

  1. Click Download the list of patients or Download the list of appointments, next to the number of items that will be updated.
  2. Open the file in a spreadsheet application, such as Excel or Google Sheets.
  3. Remove the rows of the patients or appointments that should not be updated. Only remove rows: do not remove or reorder any columns.
  4. Save the file as a CSV file.
  5. In the Action drop-down, select Only update the ones listed in the CSV file.
  6. Select your file and click Apply.

The list of appointments includes the following columns to help you decide which appointments to keep:

Only appointments whose time changes are listed. Appointments between mid-March and early November are not affected, since the time is the same in both time zones during that period.

After updating the appointments

Moving the appointments can take a few minutes. While they are being moved, the Appointments step shows In progress. Refresh the page to see when it is completed.

Once moved, the appointments are also updated in any connected external calendar, such as Google Calendar. Since the appointments keep the same time of day, your patients do not receive an email about the change.

Once every step is completed or skipped, the migration is completed and the notice is no longer shown in your settings.
